STUDY BUDDY POLICIES
DROP-IN SESSIONS
Cancellation Policy: Once scheduled, drop-in sessions shall not be canceled, rescheduled, or moved. All sessions must be paid for in full, and no refunds, credits, or adjustments will be made for missed or unused sessions. Clients may not cancel or reschedule drop-in sessions, and subscription services require written notice for cancellation
Services & Access: Access to enrichment offerings, POD Days, and individual/group session drop-in sessions. Subject to availability.
Payment & Billing: Full payment required at booking. No refunds or credits for unused or missed sessions.
SUBSCRIPTION SESSIONS
Subscription Cancellation Policy: Requires four-week notice via this 4-Week Cancellation Notice Form. Payments continue on the existing weekly or bi-weekly schedule throughout the notice period. No refunds, credits, or prorated adjustments.
Subscription Modification Policy: Requires four-week notice via this Subscription Modification Form Payments continue on the existing weekly or bi-weekly schedule throughout the notice period. No refunds, credits, chargebacks or prorated adjustments.
Services & Access: Weekly scheduled sessions at the same day and time.
Late Cancellations: Less than 24-hour notice results in session forfeiture and session cannot be rescheduled. Cancellations with at least 24-hour notice must be rescheduled within 14 days.
Failed Payments: If payment fails, Client will incur a 10% or $25 fee (whichever is greater). Clients have 48 hours to update payment before losing scheduled sessions.
EARLY DROP OFF, LATE ARRIVALS, AND NO SHOWS POLICY
Early Drop Off. Study Buddy charges a fee when Students are dropped off early. This fee will be prorated for every additional minute beyond the 5-minute mark (before and after) of their scheduled Session time.
Late Arrivals. Client is expected to be on time for Sessions or forfeit the amount of the scheduled Sessions(“Late Arrival”). No adjustment shall be made on payments because of Late Arrival by Clients. This fee will be prorated for every additional minute beyond the 5-minute mark (before and after) of their scheduled Session time.
No Shows. Clients who arrive fifteen (15) minutes after their scheduled Session are No Shows. No Shows will forfeit the amount of the scheduled Session.
Study Buddy Scheduling Conflicts. If Study Buddy arrives late, Study Buddy shall compensate Client by extending a Session by mutual agreement.

Clients should use this number for all requests and inquiries. Study Buddy’s hours of operation are Monday through Thursday 11:00 am-8:00 pm EST and Friday-Sunday 11:00 am-4:00pm EST.
SIGN-IN AND SIGN-OUT PROCESS
To enhance the safety and security of our Students, Study Buddy maintains a sign-in and sign-out procedure. Clients are required to pick up and drop off their Student at the Study Buddy Center main entrance, at the rear door, down the stairs to the left of the front door (if they are under the age of 18) using the sign-in and sign-out sheet located at the front desk.
PARKING GUIDELINES
Clients must adhere to the following parking guidelines:
Parking Etiquette: Do not block driveways, mailboxes, or park near fire hydrants to respect the convenience and safety of Study Buddy’s neighbors.
Turnaround: Use the driveway located at 10916 Meridian Hill Way, Upper Marlboro, Maryland 20772, exclusively for turning around your vehicles to prevent unnecessary traffic at the location of Study Buddy.
Alternative Routes: Be aware that Meridian Hill Drive provides access from both ends to help Clients plan efficient routes.
SAFETY PROTOCOLS
Use Walkway: Please do not walk in the grass. Only walk on the designated paved driveway/walkways at Tutor’s principal place of business.
Stair Safety: Safety is Study Buddy’s top priority. Ensure that there is no running, jumping, or any other dangerous behavior on the stairs.
Caution and Speed: Drive slowly and attentively at all times to prioritize the safety of our community.
NO CHARGEBACKS POLICY
At Study Buddy, we strive to maintain clear communication and transparency in all financial transactions. By agreeing to our services, you acknowledge and agree to the following:
Authorization for Payment
By signing up for our tutoring services, you authorize Study Buddy to charge the payment method you have provided for the agreed-upon services, including but not limited Drop-ins and Subscriptions, and any additional fees or charges that may apply.No Chargebacks
You agree that once a payment is made, it will not be reversed via chargeback or dispute with your financial institution. If you have any concerns regarding your payment or billing, you agree to first contact Study Buddy directly to resolve the issue. We are committed to working with you to address any concerns promptly.Chargeback Fees
In the event that a chargeback is initiated by the client without prior resolution or notification to Study Buddy, a $50 fee will be charged to the Client’s account. This fee is intended to cover the administrative costs associated with handling chargebacks.Failure to Resolve Chargebacks
If a chargeback is not resolved in favor of Study Buddy, we reserve the right to suspend or terminate services, and the outstanding balance will remain due. We may also pursue legal action or collection services to recover any unpaid balances, including the chargeback fees.Dispute Resolution
If you believe a charge has been made in error, we encourage you to reach out to us at admin@perfectchoicestudybuddy.com before contacting your bank or credit card company. We will make every effort to resolve the issue and ensure your satisfaction with our services.
CONFIDENTIALITY AND PRIVACY POLICY
At Study Buddy, we take your privacy seriously.
Student Information: Any information shared about your child’s academic history, progress, or personal data will remain confidential.
Data Security: We take appropriate measures to safeguard any personal data and will never share it with third parties without explicit consent, unless required by law.
DISPUTE RESOLUTION
Good Faith Efforts to Resolve Disputes: In the event of any dispute, claim, or disagreement arising out of or in connection with your membership agreement (the “Agreement”), Client and Study Buddy (the “Parties”) agree to first attempt to resolve the matter through informal discussions and good faith negotiations. Both Parties will make reasonable efforts to resolve any disputes amicably before pursuing formal dispute resolution.
Mediation: If the dispute cannot be resolved through informal discussions, the Parties agree to submit the matter to mediation as a condition precedent to any legal action. The mediation will take place in the Maryland, and will be conducted in accordance with the rules of the Maryland Mediation and Conflict Resolution Office or another mutually agreed-upon mediation provider.
The Parties shall mutually select a mediator within fifteen (15) days of either Party’s written request for mediation.
The costs of mediation, including mediator fees, will be shared equally between the Parties unless otherwise agreed during the mediation process.
Binding Arbitration: If the dispute remains unresolved after mediation, the Parties agree that the matter shall be submitted to binding arbitration in accordance with the rules of the American Arbitration Association (AAA) or another mutually agreed-upon arbitration provider. The arbitration will take place in Maryland, and the decision of the arbitrator will be final and binding on both Parties. The prevailing Party in the arbitration will be entitled to recover reasonable attorney's fees, costs, and expenses incurred in the arbitration process.
Jurisdiction and Venue: Any dispute that is not resolved through mediation or arbitration may be brought before the courts located in Maryland. Both Parties consent to the exclusive jurisdiction of the courts in Virginia and waive any objections to venue or forum based on inconvenient location.
Confidentiality: All proceedings, negotiations, and settlements relating to the mediation or arbitration shall be confidential and shall not be disclosed to any third party except as required by law or in connection with enforcing a settlement or arbitration award.
These policies are available on the Study Buddy website and may be updated at any time. It is your responsibility to review the website periodically for any changes. Continued use of our services after any policy updates will be considered as your acceptance of the revised policies.
