OUR VILLAGE POLICIES
Our Village is a separate service offering from Study Buddy and operates under its own policies, pricing, and service structure.
DROP-IN ENROLLMENT (FLEX BOOKING)
Cancellation & Rescheduling Policy: Drop-in sessions are reserved individually and confirmed upon scheduling. Once scheduled, drop-in sessions are final and may not be canceled, moved, credited, or refunded. Missed sessions are forfeited and remain billable. Drop-in enrollment is designed for occasional or as-needed support and does not guarantee recurring availability.
Services & Access: Access to individual enrichment sessions, learning support, and supervised engagement sessions based on availability. Drop-in families may book open time slots as released by Our Village. Availability is not guaranteed week-to-week.
Payment & Billing: Payment for drop-in sessions is due immediately upon completion of each session. An invoice will be issued at the end of the scheduled time and must be paid the same day. Unpaid balances must be resolved before booking future sessions.
RESERVED WEEKLY ENROLLMENT (RECURRING FAMILY)
Reserved Time Model: Families enrolled in recurring services reserve the same weekly days and time blocks. These time slots are held exclusively for the enrolled family and are not offered to others. Payment secures the reserved time whether or not the family attends.
Rescheduling Policy: When at least twenty-four (24) hours notice is provided, reserved sessions may be rescheduled without limit when requested in advance. The cancelling party must provide at least two (2) alternative dates and times for rescheduling. All rescheduled sessions remain subject to availability and must be completed within four (4) weeks of the original session date unless otherwise agreed in writing.
Late Cancellations & Same-Day Absences: Cancellations with less than twenty-four (24) hours notice, same-day absences, or no-shows result in forfeiture of that reserved session. These sessions remain billable and are not eligible for rescheduling or credit.
Provider Cancellations: If Our Village cancels due to provider illness, emergency, or scheduling conflict, the family will be offered a reschedule option within four (4) weeks when reasonably possible.
Enrollment Cancellation Policy: Recurring enrollment requires two (2) weeks written notice to cancel or modify a reserved schedule. Payment continues during the four-week notice period and reserved time remains held for the family. No refunds, credits, or prorated adjustments are issued for unused time during the notice period.
Schedule Modification Policy: Changes to recurring days or times require two (2) weeks written notice and are subject to availability.
Payment & Billing: Recurring services are billed weekly each Friday for sessions completed that week unless otherwise agreed in writing. Payment secures continuation of reserved time. Accounts must remain current to maintain enrollment. Late payments exceeding forty-eight (48) hours may result in suspension of services and release of reserved time.
Failed Payments: If payment is not received or fails, Client has forty-eight (48) hours to resolve the balance. Reserved sessions remain billable during this period. If not resolved, services may be suspended and reserved time released. Outstanding balances remain due. Re-enrollment is subject to availability and current pricing.
Services & Access: Recurring families receive priority scheduling and consistent weekly reserved time. Additional sessions may be requested but are subject to availability.
Failed Payments: If a subscription payment fails, Client will incur a 10% or $25 fee (whichever is greater) and has 48 hours to update the payment method. If not resolved, upcoming sessions will be cancelled and remain billable as part of the subscription. After payment is completed, cancelled sessions may be rescheduled within two weeks of the original date. If the balance remains unpaid for more than 14 days, the subscription will be terminated and the session time released. Termination does not remove any outstanding charges, and re-enrollment requires payment of all balances and is subject to availability and current pricing.

SICK POLICY
At Our Village, our priority is keeping students and staff healthy. To protect everyone, please cancel your session if your child show signs of illness before arriving. If a student becomes ill during a session, we’ll ask a parent/guardian to pick them up promptly.
Please cancel your session if you or your student has:
Fever of 101°F or higher (return after 24 hours fever-free without medicine)
Vomiting or diarrhea (return 24 hours after it stops)
Persistent cough, difficulty breathing, or extreme fatigue
Rash, mouth sores, or pink eye that a doctor hasn’t cleared
Strep throat (return 24 hours after antibiotics and fever is gone)
Chickenpox (return once all sores are dried and crusted)
COVID-19 (return after 10 days and 24 hours fever-free)
Any other contagious illness (please follow your doctor’s guidance)
Note: In some cases, a doctor’s note may be required before returning.
Our Village reserves the right to determine when a student can safely return.
NO CHARGEBACKS POLICY
At Our Village, we strive to maintain clear communication and transparency in all financial transactions. By agreeing to our services, you acknowledge and agree to the following:
Authorization for Payment
By signing up for our services, you authorize Our Village to charge the payment method you have provided for the agreed-upon services, including but not limited Drop-ins and Weekly Enrollment, and any additional fees or charges that may apply.No Chargebacks
You agree that once a payment is made, it will not be reversed via chargeback or dispute with your financial institution. If you have any concerns regarding your payment or billing, you agree to first contact Our Village directly to resolve the issue. We are committed to working with you to address any concerns promptly.Chargeback Fees
In the event that a chargeback is initiated by the client without prior resolution or notification to Our Village, a $50 fee will be charged to the Client’s account. This fee is intended to cover the administrative costs associated with handling chargebacks.Failure to Resolve Chargebacks
If a chargeback is not resolved in favor of Our Village, we reserve the right to suspend or terminate services, and the outstanding balance will remain due. We may also pursue legal action or collection services to recover any unpaid balances, including the chargeback fees.Dispute Resolution

CONFIDENTIALITY AND PRIVACY POLICY
At Our Village, we take your privacy seriously.
Student Information: Any information shared about your child’s academic history, progress, or personal data will remain confidential.
Data Security: We take appropriate measures to safeguard any personal data and will never share it with third parties without explicit consent, unless required by law.
DISPUTE RESOLUTION
Good Faith Efforts to Resolve Disputes: In the event of any dispute, claim, or disagreement arising out of or in connection with your membership agreement (the “Agreement”), Client and Our Village (the “Parties”) agree to first attempt to resolve the matter through informal discussions and good faith negotiations. Both Parties will make reasonable efforts to resolve any disputes amicably before pursuing formal dispute resolution.
Mediation: If the dispute cannot be resolved through informal discussions, the Parties agree to submit the matter to mediation as a condition precedent to any legal action. The mediation will take place in the Maryland, and will be conducted in accordance with the rules of the Maryland Mediation and Conflict Resolution Office or another mutually agreed-upon mediation provider.
The Parties shall mutually select a mediator within fifteen (15) days of either Party’s written request for mediation.
The costs of mediation, including mediator fees, will be shared equally between the Parties unless otherwise agreed during the mediation process.
Binding Arbitration: If the dispute remains unresolved after mediation, the Parties agree that the matter shall be submitted to binding arbitration in accordance with the rules of the American Arbitration Association (AAA) or another mutually agreed-upon arbitration provider. The arbitration will take place in Maryland, and the decision of the arbitrator will be final and binding on both Parties. The prevailing Party in the arbitration will be entitled to recover reasonable attorney's fees, costs, and expenses incurred in the arbitration process.
Jurisdiction and Venue: Any dispute that is not resolved through mediation or arbitration may be brought before the courts located in Maryland. Both Parties consent to the exclusive jurisdiction of the courts in Maryland and waive any objections to venue or forum based on inconvenient location.
Confidentiality: All proceedings, negotiations, and settlements relating to the mediation or arbitration shall be confidential and shall not be disclosed to any third party except as required by law or in connection with enforcing a settlement or arbitration award.
These policies are available on the Our Village website and may be updated at any time. It is your responsibility to review the website periodically for any changes. Continued use of our services after any policy updates will be considered as your acceptance of the revised policies.
